City of Falcon Heights <br />Position Announcement <br />Deputy Clerk <br />Updated June 2005 <br />Reports to: City Administrator <br />Type: Hourly, non-exempt; full time <br />Salary: Salary range depending on qualifications <br />Primary objective: <br />Provides a broad range of administrative duties including support to the mayor and <br />councilmembers, city administrator and other staff members in a wide variety of <br />areas. Receives and provides information to the public. Independently maintains <br />city records and licenses. All is done under minimal supervision. <br />Job responsibilities: <br />• • First resource to answer telephones and cover front desk, responding to concerns/ <br />complaints or forwarding to appropriate staff person <br />• Processes applications for all permits and city contractor licenses. <br />• Receive and process registrations for recreation programs, reservations of city hall <br />and park facilities. Mail quarterly invoices to regular users of city hall. <br />• Initiates, writes articles and oversees newsletter materials before submitting for layout <br />and printing. Prepare newsletters for bulk mail and take to St. Paul post office <br />(quarterly) <br />• Organize and manage elections <br />• Invoices City of Lauderdale monthly for fire calls <br />• Sends monthly notices/invoices to residents regarding false security/fire alarms <br />• Provides answers to questions on assessments and maintains the assessment files <br />• Maintains, organizes and updates the city's files <br />• Oversees maintenance of city records <br />• Opens mail and receipts in money (3 days/week) <br />• Works with the city accountant to stamp and mail all disbursements (semi-monthly) <br />• Updates the city calendar monthly and phone information line as needed <br />• Updates new residents list and provides new residents with packet of information <br />• Notifies, renews and distributes parking permits for resident permit parking, and State <br />Fair parking. <br />• Issue temporary parking permits to residents as requested. <br />Z3 <br />
