<br /> <br /> STAFF REPORT <br /> <br /> <br /> <br />TO: Mayor Keis and Members of City Council <br /> <br />FROM: Joel Hanson, City Administrator <br /> <br />DATE: May 6, 2016 <br /> <br />RE: Integrated Communications Plan <br /> <br /> <br />Here is a summary of where we stand in relation to accomplishment of the attached Action Plan: <br /> <br />Website Upgrade: <br /> <br />Staff has worked on this over the last few years. We currently use GovOffice. This system has <br />served us well, but upgrades to appearance and information management would be desirable. In <br />our past reviews, staff did not feel spending dollars on a GovOffice upgrade ($4,000) was <br />warranted due to the limited enhancements we would attain. We have also noticed that many <br />other cities have moved from GovOffice to other hosting platforms. The cost to do this will <br />likely run in the $15,000 to $20,000 range. <br /> <br />Council Member Torkelson has been reviewing this issue with some of our staff members, and I <br />believe he will be able to update us on the options available to us, as well as what he sees as most <br />appropriate. <br /> <br />Social Media: <br /> <br />Council Member Torkelson introduced us to a consultant friend of his, Cirien Saadeh, who <br />discussed social media with staff. The key take away points from that conversation are as <br />follows; <br /> <br />• Focus on Facebook as our starting point. It is the most appropriate social media tool for <br />us to start with. <br />• Do not jump in to other social media outlets at the onset. Get Facebook up and running <br />and do it well. We were encouraged to give it six months of use and ease into Facebook <br />before ramping up our outreach efforts. <br />• We need to post roughly 20-60 posts per month. It was recommended that the City post <br />no less than once every two days, but a maximum of twice a day. <br />• We will need to adopt a clear use guidelines policy governing the usage of Facebook that <br />covers topics related to who can post to the site, information versus opinions, not <br />allowing personal attacks, and being non-political. <br />
