STAFF REPORT

TO: Little Canada Parks & Recreation Commission &
Mayor Keis & Members of the City Council

FROM: Joel Hanson, City Administrator
Bryce Shearen, Parks & Recreation/Community Services Manager

DATE: May 2, 2017

RE: Parks Master Plan RFP’s & Review Process

Proposals are due in on Monday, May 8th. We sent the Request for Proposals to 13 firms. At
this time, we are not sure how many will respond. Staff will review those received and will have
a recommendation ready for the top three to five firms for Tuesday’s Parks & Recreation
Commission meeting. The RFP’s are being submitted electronically and with hard copies.
Staff will forward an electronic copy of each proposal to the Commission and City Council by
Monday evening. We will also include a copy of the RFP document for reference purposes.

To meet the desired timeline of having a consultant contracted by the end of May, we need to
finalize our selection process. If we are able to determine finalists by the May 10th Council
meeting (assumes a Commission recommendation from their meeting of May 9th), then we also
need to decide upon an interview date. I would assume that the entire Commission and Council
will participate in the interviews.

Some possible interview dates that would allow a decision to be made at the Council meeting of
May 24th are:
• Wednesday, May 17th
• Thursday, May 18th
• Monday, May 22nd
• Tuesday, May 23rd

The Commission should determine which dates of the above list work for them. I will
transmit that information to the Council for them to consider at their meeting of May 10th.

If you have any comments or questions in the meantime, please let us know.
