STAFF REPORT

TO: Mayor Keis and Members of the City Council

FROM: Jessica Jagoe, Associate Planner

DATE: July 6, 2017

RE: Community Engagement Incentives

At the last Council workshop, staff discussed our Community Engagement efforts for the survey being completed
as part of the 2040 Comprehensive Plan and Parks Master Plan. Staff suggested having items available to
promote the City, gain participation, and “freebies” that would be handed out promoting the survey (which will
be available in the next few weeks). It’s staff’s belief that having these items available will gain that engagement
and make it more enticing for people to want to participate. Below is a list of ideas staff is proposing for
community engagement along with an estimated cost for each -

T-shirt with City logo Qty: 40 $400.00
Sweatshirt (hockey style) with
embroidered logo
Qty: 2 $100.00
$25 Gift Cards – Little Canada
restaurants
Qty: 4 $100.00
$10 Gift Cards – Little Canada fast
food restaurants
Qty: 10 $100.00
Can Koolers with City Logo
*Will be used for Night to Unite & Canadian Days
parade.
Qty: 1,000 $820.00
City Survey Business Cards Qty: 1,000 $35.00
Golf Shirts with embroidered logo Qty: 20 $633.00
Example Miscellaneous Supplies –
 Banner
 Signs for Equipment in parade
 Candy
Estimate
$450.00
Total - $2,638.00

Please note that the t-shirts would not be a giveaway item for survey participants, but rather given to city staff,
Planning Commission members, and Parks & Rec Commission members to identify them as being with the City
during the Ice Cream Social as well as Canadian Days at either our Community Engagement tent on Saturday or in
the parade on Sunday with some of the Public Works equipment handing out promotional items. Also, the
quantity of golf shirts ordered exceeds the amount needed during Canadian Days, but we are replenishing
inventory on certain sizes that we no longer have available to sell. The cost above reflects the total purchase
price, but some of that will be offset by future sales of the golf shirts.

In addition to the above purchases, city staff would like to recognize Culvers for donating 200 free custard tickets
and McDonalds for donating 500 ice cream cone tickets. These will also be handed out along with our City
business card to individuals during engagement events.
