<br /> <br /> STAFF REPORT <br /> <br /> <br /> <br />TO: Mayor Keis and Members of City Council <br /> <br />FROM: Bryce Shearen, Parks & Recreation/Community Services Manager <br /> DATE: December 18, 2019 <br /> RE: Purchase Production Room Switcher <br /> <br /> <br />ACTION REQUESTED <br />Motion to approve the purchase of a production switcher for $7,796.29 from Heartland Video <br />Systems and to accept the Professional Services Agreement from North Suburban Access Cable <br />(NSAC) to provide project management and installation for the amount of $3,027.00. <br /> <br />BACKGROUND <br />As discussed at the November 6, 2019, Council Workshop, the production switcher in the <br />Council Chambers Production Room needs an upgrade. The current Broadcast Pix Mica <br />production switcher is running off an older version of Microsoft Windows that will no longer be <br />supported in 2020. With the End of Life (EOL) fast approaching, the production switcher needs <br />to be upgraded or a new one needs to be purchased. In this case, it is more cost-effective to <br />replace the unit with a new one. <br />Staff has been working with CTV for cost estimates and to make sure that the new production <br />switcher will be compatible with existing equipment. After receiving three bids, the lowest was <br />from Heartland for a new Ross Carbonite production switcher for $7,796.29 (see attached quote). <br />At the workshop, Staff had estimated that a new production switcher would cost approximately <br />$9,520.00. The new switcher will be compatible with existing equipment and provides <br />familiarity to the meeting producers. <br />BUDGETARY IMPACT <br />This item has been budgeted for in the Cable TV (Fund 202) for 2020. <br />STAFF RECOMMENDATION <br />Staff is recommending that the City Council approve the purchase of the Ross Carbonite <br />production switcher for $7,796.29 from Heartland Video Systems and to accept the Professional <br />Services Agreement from North Suburban Access NSAC to provide project management and <br />equipment installation for the amount of $3,027.00. <br /> <br />ATTACHMENTS <br />• Heartland Video Systems Quote <br />• North Suburban Access NSAC Professional and Technical Services Agreement
