<br /> <br /> <br />Position Title: Administrative Assistant <br />Department: Administration <br />Accountable To: City Clerk/HR Manager <br />Status: Temporary, full-time, Non-Exempt <br />Created: July 2024 <br /> <br /> <br />PRIMARY OBJECTIVE OF THE POSITION <br />Provides general clerical work, front office support, and answering phones. Process routine accounts <br />receivable and cash receipts and complete other responsibilities as assigned. <br /> <br />MAJOR DUTIES AND RESPONSIBILITIES. <br />1. Records licenses and permits receipts using accounting software, ensuring accuracy and timeliness, <br />and prepares the daily bank deposit. <br /> <br />2. Serves as back-up when other staff are absent or busy by performing duties such as, but not limited <br />to, assisting customers, answering telephones, issuing permits, and opening and distributing mail. <br /> <br />3. Serves as backup for opening the office, completes clerical tasks such as opening the safe and cash <br />register, and distributing any messages left on general voice mail. Checks the after-hours drop box <br />daily and distributes the materials received to the appropriate people. <br /> <br />4. Helps to maintain the orderly appearance of the front counter/lobby area by filling information <br />racks and providing general organization. <br /> <br />5. Promotes customer service attitude in all dealings with the public. <br /> <br />6. Assists with special clerical projects as assigned by the City Clerk/HR Manager <br /> <br />7. Electronic and paper records management, including scanning and organizing city records for <br />retention. <br /> <br />8. Performs other duties as requested or assigned. <br /> <br />KNOWLEDGE, SKILLS, AND ABILITIES <br />Ability to quickly learn the city’s cash receipts process and ability to learn the city’s accounting <br />software (Springbrook). Prior cash receipts experience and accounting software is a plus. <br /> <br />Ability to maintain effective working relationships with fellow employees and the public. <br />Friendly, courteous, helpful, professional, and efficient are the traits needed to be successful in <br />this position.
