Hanson <br />www.ci.little-canada.mn.us <br />MEMORANDUM <br />TO: Mayor Blesener & Members of the City Council <br />FROM: Kris Pechman <br />DATE: May 4, 2006 <br />RE: Action Plan Report <br />Increasing Use of E -mail to Communicate to Citizens <br />CURRENT E -MAIL NOTIFICATION METHODS USED: <br />E -mail lists are currently being used to provide interested recipients a copy of agendas, <br />minutes, city newsletters, and job opening notices. Recipients are e- mailed copies of the <br />actual documents either in Word format or as a PDF file. However, we have not done much <br />advertising of this service in the past. Recently, we added links on our web site to inform <br />people of these lists. (Copies of web site messages attached.) We do have a bulk e -mail tool <br />available to us through Govoffice (our web site provider) which would allow us to send out <br />"e -mail updates" to people who sign up for the service. <br />RESEARCH CONDUCTED: <br />a Several cities were surveyed to see what they offered to citizens in the form of e -mail <br />communication. (Survey results are attached. Of the cities surveyed, Shoreview offered <br />the most extensive system. Residents can sign up to receive e -mails on several different <br />topics. (Shoreview's topic list attached.) <br />)=. Shoreview was contacted to ask about their experience with the e -mail update feature <br />they offer to their residents. (See comments attached.) <br />Staff signed up to receive e -mails from various cities such as Shoreview, St. Paul, and <br />Woodbury.
