`YJdl 11/ , YG <4 C-eetl2CYche
515 Little Canada Road, Little Canada, MN 55117 -1600
(651) 766 -4029 / FAX: (651) 766 -4048
www.ei,little- canada.mn.us
MEMORANDUM
TO: Mayor Fahey & Members of the City Council
FROM: Joel Hanson, City Administrator
DATE: December 12, 2003
RE: Update Workshops
MAYOR
Michael 1. Fahey
COUNCIL
Jim LaVaile
Matt Anderson
Rick Montour
Blll Blesener
ADMINISTRA7'OR
Joel R. Hanson
Council Member Anderson and I have been discussing ways to improve the flow of information
between the City Council and the Staff. To that end, the Mayor has asked that we schedule a
workshop for the first meeting in January to talk about this matter. (January 14th at 6:00 or 6:30)
From my standpoint, I believe periodic workshops with the Council (say one every two months
or so) should be held whereby staff would prepare an agenda of items to be discussed /reviewed.
Council members would also be able to place items on this agenda, ideally with advanced notice
so we can adequately prepare for the workshop. We could also focus on a specific operational
area such as fire inspections, code enforcement, public works, parks, recreation, technology,
customer service, etc. for portions of these meetings with the relevant staff person being present
to participate in the discussion.
I believe this format would provide better flow of information. The written information updates
I have prepared in the past gave the council background material on many behind the scenes
activities, but did not result in feedback to the staff They are also time consuming to prepare
and material can get dated unless I do them on a very short frequency.
Council Member Anderson will present his opinions on this matter on Wednesday's meeting.
Staff is open to whatever format the City Council feels would work the best.
