Updated 2/22/03 <br />CITY OF LITTLE CANADA <br />Computer Use Policy <br />PURPOSE <br />The purpose of this policy is to protect the quality and integrity of the City of Little Canada's <br />computer network and to provide employees with standards of behavior when using the <br />computers. Each item in this policy is designed to strengthen the quality and integrity of this <br />resource while minimizing risks to City employees and the City's computer network. <br />EQUIPMENT USE <br />Desktop computers and attached devices are not to be removed from City buildings without the <br />consent of the City Administrator. Employees should refrain from personal use during <br />working hours. Employees may use the computers, e -mail, and the Internet for personal use <br />outside of regular business hours or during other non -work time. <br />E -MAIL USE <br />Employees should use the same care when creating electronic communications, as they would <br />use with oral or written communications. Existing policies governing employee behavior, both <br />within the workplace and when interacting with the general public, apply to electronic <br />communications. E -mail is not a private communication system. Improper use of e -mail could <br />expose employees to personal liability as well as disciplinary action. E -mail is not to be used to <br />send jokes or other comments that may be discriminatory, harassing, or offensive to others, or <br />to send material that defames an individual, company, business, or municipality. Employees <br />should not open electronic communications received from unrecognized sources since this <br />could subject the City's network to viruses. <br />INTERNET USE <br />The primary function of the computer network is to assist in service delivery to our residents and <br />customers. Personal and business use of the Internet is limited to web sites that are considered <br />"business appropriate" and employees are expected to exercise good judgment when accessing <br />sites. Employees may not intentionally access any site that is inappropriate for a public sector <br />employer, or which could cause embarrassment to the organization or employee. If this occurs, <br />employees are expected to notify their supervisor immediately. Public sector organizations are <br />held to a high standard of scrutiny and ethical behavior. Some examples of inappropriate sites <br />include adult entertainment, sexually explicit material, web sites promoting violence or terrorism, <br />illegal use of controlled substances (drugs) and intolerance of other people, races, religions, etc. <br />DATA MANAGEMENT, INTEGRITY & PROTECTION <br />Access to data: For the purposes of increased efficiency, the City allows employees to view, <br />add, or modify information in each other's users files stored on the server. Therefore, access to <br />these files is virtually unlimited.
