Hanson <br />In order to preserve City Council meeting minutes, which are a part <br />of the City's permanent records, it is staff's recommendation that <br />these minutes be microfilmed on roll film and stored off -site. <br />I have obtained three quotes for microfilming these records. A <br />comparison of these quotes is as follows: <br />Central Micro. <br />Systems <br />Minolta Microfilm Comm. <br />Filming per <br />1,000 documents: 29.00 35.00 35.00 <br />Preparation: 8.50 /hr. Inc. 10.00 /hr. <br />Duplicates: 7.50 /roll Inc. 6.50 /roll <br />Delivery & <br />Return of docs.: Company City Company <br />Estimated Cost <br />of Filming <br />30,000 documents <br />with 2 Hours <br />Preparation Time <br />& One Duplicate <br />Copy: $996 $1,080 $1,109 <br />The estimate of 30,000 documents may be slightly on the high side, <br />therfore, the final cost could be less than the prices quoted above. <br />It is staff's recommendation that the quote of Central Micro Systems <br />be awarded. <br />It should be noted that this item has been identified for funding by <br />the 10% gambling funds. Therefore, approval of this item will mean <br />the use of some of these funds before the committee has had an <br />opportunity to prioritize the capital improvement listing. <br />Page 20 <br />
