<br />August 2017 Laserfiche Project Update <br /> <br />Definition of Project – Conversion of permanent city data from paper to electronic, for ease of <br />use and better access <br />Past <br /> <br />October 2013 - Our first part-time scanner techs (2) started; one scanner worked exclusively on <br />council records; other scanner worked on property files <br /> <br />July 2015 – Budget reduced to one 24 hour per week scanner tech <br /> <br />August 2016 – Purchased quick fields program for property file records (program produces bar <br />codes which speed process) <br /> <br />December 2016 – Completed large format scanning project (council had authorized funding of <br />$15,000; project done for approximately $10,000) <br /> <br />Present <br /> <br />As of June 2017, in our LF repository we have: <br />- 64,414 documents <br />- 471,164 pages <br /> <br />We have one scanner tech position, working 24 hours per week; workload is 90% property <br />records and 10% finance. <br />Each city department has its own scope: <br /> Administration – city council records are continuously updated; more than 95% of <br />council records have been deposited. <br /> Finance – working independently on converting all records to electronic; new finance <br />system allows automated deposit of new records. <br /> Community Development – the bulk of the LF project records are in this department, <br />including property records, building plans, and planning files; Property records are <br />approximately 40% complete; large format plans are complete. <br /> Public Services – Park Board packets on public weblink. <br /> Public Safety – police/fire have special record keeping needs and requirements and <br />handle their own systems; they have access to LF depository for administrative records. <br /> <br />We have an internal LF Users group to collaborate and coordinate.
