CITY COUNCIL <br />AGENDA ITEM IE <br /> <br /> <br />STAFF ORIGINATOR: Julie Bartell, City Clerk <br /> <br />MEETING DATE: August 28, 2017 <br /> <br />TOPIC: Resolution No. 17-89, Adopting the General Records Retention <br />Schedule for Minnesota Cities <br /> <br />VOTE REQUIRED: 3/5 <br /> <br /> <br />INTRODUCTION <br /> <br />Minnesota Statutes, Section 138.17, relates to government records and authorizes cities to plan <br />for the management and disposal of city data by adoption of a retention schedule. The City of <br />Lino Lakes has adopted the General Records Retention Schedule for Minnesota Cities (MN <br />Retention Schedule). <br /> <br />BACKGROUND <br /> <br />In 2017, the general schedule was updated by the Minnesota Clerks and Finance Officers <br />Association (MCFOA) and the State now recommends that cities adopt the new document. <br /> <br />The City is not required to adopt the general schedule in its entirety and staff has been informed <br />by the Public Safety Department of the appropriateness of adopting a separate schedule for <br />their police and fire records. The separate schedule is called for because the City of Lino <br />Lakes Public Safety Department houses its records with other Anoka County law enforcement <br />agencies and they have developed a countywide records retention schedule. <br /> <br />The attached resolution approves the adoption of the general schedule for all city records <br />except police and fire for which a separate schedule is adopted. <br /> <br />RECOMMENDATION <br /> <br />Staff recommends approval of Resolution No. 17-89, Adopting the General Records Retention <br />Schedule for Minnesota Cities. <br /> <br /> <br /> <br />
