WS — Item 6 <br />WORK SESSION STAFF REPORT <br />Work Session Item No. 6 <br />Date: February 4, 2019 <br />To: City Council <br />From: Sarah Cotton, Finance Director <br />Re: PermitWorks/Laserfiche Integration Project <br />Background <br />In the fall of 2018, staff began looking into potential software solutions that would <br />accommodate electronic submission of permit applications, as well as online payment of <br />permit fees. As part of the 2019 budget process, $30,000 of General Fund surplus was <br />designated to fund a fully automated and integrated online permitting solution with an <br />electronic payment option. <br />OPG-3 has developed an integrated online permit application process using PermitWorks <br />and Laserfiche, two software/systems currently in use by the City of Lino Lakes. The <br />digitized, automated, and integrated system includes: <br />• Online submission of permit applications (automatically stored in PermitWorks <br />and Laserfiche) <br />• Automatic generation of permit fees and inspections (based on online permit <br />application selections) <br />• Digital approval process (application and plan review documents, if applicable, <br />are automatically routed for review and approval by appropriate staff) <br />• Online payment of fees (integration with a payment gateway) <br />• Automatic document generation (permit and inspection documents emailed to <br />applicant) <br />Staff is ready to proceed with the Online Permitting Solution for PermitWorks developed <br />by OPG-3. The Statement of Work details a fixed cost for the project of $22,200.
