<br />WS – Item 3 <br />WORK SESSION STAFF REPORT <br />Work Session Item No. 3 <br /> <br /> <br />Date: March 1, 2021 <br /> <br />To: City Council <br /> <br />From: Hannah Lynch, Finance Director <br /> <br />Re: Easy CIP Software <br /> <br /> <br />Background <br />Easy CIP is a cloud-based application that aims to centralize, facilitate, plan, track, and <br />report to simplify the Capital Improvement Planning (CIP) process. <br /> <br />The City currently has three CIP processes/documents; the Community Development 5- <br />year Capital Plan, the Capital Equipment Plan, and the enterprise CIP which will be <br />formalized as part of the Utility Rate Study. Each of these processes are manual and <br />come together in separate excel spreadsheets. <br /> <br />Easy CIP would allow for a more standard and collaborative CIP process. After a project <br />is entered into the software, reports and project details can be pulled in a variety of ways <br />at the click of a button. <br /> <br />A detailed overview of Easy CIP is attached. The company set up a free Proof of Concept <br />(POC) for the City of Lino Lakes which I have used to tailor the application to our needs <br />as well as enter in our projects. I will preview our data in the POC during the work <br />session. <br /> <br />The base price of the application is $2,500/year which includes 1 user. Additional users <br />can be added at $500/year. Unlimited technical support is included within the price. The <br />amount designated for finance software in the Office Equipment Replacement fund could <br />cover the cost for roughly 2 years. After that, the annual fee would require General Fund <br />budget dollars. <br /> <br />Requested Council Direction <br /> <br />Consideration of moving forward with Easy CIP to facilitate the CIP process. <br /> <br />Attachments <br /> <br />Easy CIP Overview
