CITY COUNCIL <br />AGENDA ITEM 1F <br /> <br /> <br />STAFF ORIGINATOR: Hannah Lynch, Finance Director <br /> <br />MEETING DATE: April 12, 2021 <br /> <br />TOPIC: Easy CIP Annual License Invoice <br /> <br />VOTE REQUIRED: 3/5 <br /> <br /> <br />BACKGROUND <br /> <br />Easy CIP is a cloud-based application that aims to centralize, facilitate, plan, track, and report <br />to simplify the Capital Improvement Planning (CIP) process. <br /> <br />The City currently has three CIP processes/documents; the Community Development 5-year <br />Capital Plan, the Capital Equipment Plan, and the enterprise CIP which will be formalized as <br />part of the Utility Rate Study. Each of these processes are manual and come together in <br />separate excel spreadsheets. <br /> <br />Easy CIP would allow for a more standard and collaborative CIP process. After a project is <br />entered into the software, reports and project details can be pulled in a variety of ways. <br /> <br />The annual license is currently $4,000 which includes 4 users. The Office Equipment and <br />Replacement Fund has $9,000 dedicated to finance software that could be utilized for the first <br />two years.
