DECEMBER 8, 1975 <br />In the utility department, there was no record of when the water meters <br />were installed, no penalty charged on over due statements and the posting <br />of the water deposit and meter charges were in the worng column. Mr. <br />Jaworski felt there were many areas of the Clerk's Office that needed to <br />be checked and he would like to go back and do some more checking. <br />Mr. Marier said that in the Police Office the records were up to date <br />and the Police Clerk and Chief explained the responsibilities to them. <br />He felt the office was run very efficiently. He recommended that within <br />the next quarter consideration of file cabinets for that office. <br />Mr. Marier said that he had asked for a tickler file from the Clerk's <br />Office and this was not readily available. He also felt the cash flow <br />report is incomplete and should be finished. Mr. Marier felt the <br />Federal Revenue Sharing funds are being spent the first quarter of the <br />year for general uses and not as planned and that the next Council <br />will be operating witha $30,000.00 deficit. The Council had submitted a <br />budget which put the levy at the limit and about 20% of that will not <br />be collected. A cash flow accountability is needed by the end of the <br />month. <br />Mr: Zelinka said that when an auditor is considered for the year 1976, he <br />would ask for not only a CPA but one which can advise in the area of cash <br />flow. <br />Mr. Marier said this cash flow should be done on a day to day basis. <br />Mr. McLean asked that a special meeting be set in order to go over this <br />before the next Council Meeting. After checking, the council set December <br />16, 1975 at 8:00 P.M. for a special meeting to consider this. Mr. McLean <br />so moved. Seconded by Mr. Zelinka. Motion carried. <br />Mr. Gotwald had no report other than the fact that Mr. Rehbein will be <br />opening bids this Friday, December 12, 1975, for the installation of <br />the mains and laterals in Shenandoah. As soon as Mr. Gotwald has time <br />to analyize the cost and compute the anticipated cost per lot, then Mr. <br />Rehbein will schedule a meeting with the residents in that area and <br />get the installation started. <br />Mr. Gotwald said the plans.for that area have been submitted to the <br />Metropolitan Council and he had been informed by phone the plans will <br />be approved and official notification will be by letter. <br />Mr. Gotwald had talked with the Engineer responsible for the installation <br />of the force main and they are making good progress. Mr. Jaworski asked <br />if pre -cast man holes will be used and Mr. Gotwald said, Yes, this is <br />part of the specs. Mr. Jaworski said there is some trouble in the Country <br />Lakes area of taking in water. Mr. Gotwald said the man holes in that <br />area are also pre -cast and if water is leaking in, it would be through <br />the covers. These should be checked periodically by Mr. Volk and the <br />holes plugged. The Clerk was asked to set up a file for this purpose. <br />981 <br />
