STAFF REPORT <br />DATE: December 17, 2024 <br /> CONSENT <br /> <br />AGENDA ITEM: Accept Improvements and Approve Pay Request No. 9 (Final) for the <br />Tapestry Sanitary Sewer Extension <br />SUBMITTED BY: Chad Isakson, Project Engineer <br />REVIEWED BY: Nicole Miller, City Administrator Clarissa Hadler, Finance Director Marty Powers, Public Works Director <br /> Jack Griffin, City Engineer <br /> <br /> <br />ISSUE BEFORE COUNCIL: Should the City Council accept the improvements and approve Pay Request <br />No. 9 (Final) for the Tapestry Sanitary Sewer Extension? <br /> <br />BACKGROUND: A-1 Excavating was awarded a construction contract on May 17, 2022 to complete the <br />Tapestry Sanitary Sewer Extension. The contractor has now completed the work in accordance with the <br />contract, plans, and specifications, including all punch list items. <br /> <br />PROPOSAL DETAILS/ANALYSIS: A-1 Excavating has submitted Partial Pay Request No. 9 (Final) in <br />the amount of $40,415.44. The Project Engineer has prepared a Certificate of Completion indicating that <br />all work is completed, including all punch list items, and is recommending the acceptance of the <br />improvements and release of final retainage. Project acceptance will initiate the one-year warranty period <br />for the improvements. The one-year warranty will begin on December 17, 2024 and will extend through <br />December 17, 2025. <br /> <br />FISCAL IMPACT: None. Final payment is being recommended within the authorized scope and budget <br />for the project. The final total project cost came in at $1,478,800 versus the post-bid approved project cost <br />of $1,547,000 (which includes project costs, city sanitary sewer connection fees, and oversized sewer <br />recovery costs). The final construction cost component of the project paid to the contractor is $808,308.70 <br />versus the contract award amount of $795,795.00. The total final project cost includes contingency funds <br />for professional services required to be performed throughout the warranty period. The project was financed <br />by special benefit assessments previously levied. <br /> <br />RECOMMENDATION: Staff is recommending that the City Council, as part of the Consent Agenda, <br />accept the improvements and approve Pay Request No. 9 (Final) for the Tapestry Sanitary Sewer Extension. <br />If removed from the consent agenda, the recommended motion for the action is as follows: <br /> <br />“Move to accept the improvements for the Tapestry Sanitary Sewer Extension and approve Pay <br />Request No. 9 (Final) to A-1 Excavating in the amount of $40,415.44”. <br /> <br />ATTACHMENTS: <br /> <br />1. Partial Pay Estimate No. 9 (Final). <br />2. Certificate of Completion.
