STAFF REPORT <br />DATE: January 7, 2025 <br /> CONSENT <br /> <br />AGENDA ITEM: Accept Improvements and Approve Pay Request No. 6 (Final) for the 2024 <br />Street and Utility Improvements <br /> <br />SUBMITTED BY: Jack Griffin, City Engineer <br /> <br />REVIEWED BY: Nicole Miller, City Administrator Marty Powers, Public Works Director <br /> Clarissa Hadler, Finance Director <br /> Mike Rusenovich, Project Engineer <br /> <br /> <br />ISSUE BEFORE COUNCIL: Should the City Council accept the improvements and approve Pay Request <br />No. 6 (Final) for the 2024 Street and Utility Improvements? <br /> <br />BACKGROUND: Northdale Construction Company, Inc. was awarded a construction contract on April <br />16, 2024 to complete the 2024 Street and Utility Improvements. The work has now been completed in <br />accordance with the contract, plans and specifications, including all punch list items. <br /> <br />PROPOSAL DETAILS/ANALYSIS: Northdale Construction Company, Inc. has submitted Pay Request <br />No. 6 (Final) in the amount of $100,594.82. The Project Engineer has prepared a Certificate of Completion <br />indicating that all work is completed, including all punch list items, and is recommending acceptance of the <br />improvements and release of final retainage. Project acceptance will initiate the one-year warranty period <br />for the improvements. The one-year warranty will begin on January 7, 2025 and will extend through <br />January 7, 2026. <br /> <br />FISCAL IMPACT: None. Final payment is being recommended within the authorized scope and budget <br />for the project. The estimated total project cost at completion is $2,402,000 versus the post-bid approved <br />project cost of $2,601,000. The total final project cost includes contingency funds for professional services <br />to complete record drawings and perform services through the warranty period. The final project cost <br />breakdown includes $1,980,000 for the street and drainage improvements and $422,000 for the water <br />system improvements. Of these costs, $626,000 have been specially assessed, $422,000 will be funded <br />through the Water Enterprise Fund, and the remaining costs will be funded through the project bond <br />proceeds and general tax levy. <br /> <br />RECOMMENDATION: Staff is recommending that the City Council, as part of the Consent Agenda, <br />accept the improvements and approve Pay Request No. 6 (Final) for the 2024 Street and Utility <br />Improvements. If removed from the consent agenda, the recommended motion for the action is as follows: <br /> <br />“Move to accept the improvements and approve Pay Request No. 6 (final) to Northdale Construction <br />Company, Inc. in the amount of $100,594.82 for the 2024 Street and Utility Improvements”. <br /> <br /> <br />ATTACHMENTS: <br /> <br />1.
