This letter summarizes our findings and recommendations which will allow the City to obtain its current objectives for data processing and adapt to future requirements that may be placed on City's processing abilities. CITY'S CURRENT DATA PROCESSING CAPABILITIES The City currently has three Apple H computers and three printers. The City currently uses the computers for word processing and for utility billings. The City had purchased the Apple H computers with the intention of implementing a general ledger system including receipting and processing of accounts payable. Implementation of the software was not completed for a variety of reasons, including the elimination of support for the software by the vendor of the software. It is the City's objective to obtain new general ledger software. General ledger software includes the functions of receipting, accounts payable, and a general report writer. The City must also retain or improve its word processing and utility billing automated capabilities. With the limited number of employees, payroll software is not a high priority at this time. If however, a cost effective payroll software is available, the City would consider adding this software also. City personnel have experience on Apple based microcomputer systems. You have indicated that you prefer to stay with an Apple microcomputer system. You have also indicated that there may be advantages to having the computers connected through a local area network. The cost of such a system at this time may be prohibitive, however, the ability to expand is a priority. Our understanding of the City's priorities is as follows: 1) Obtain general ledger micro -based system(software and hardware) which includes automated accounts payable and receipting features. 2) Replace some or all existing microcomputers (current units are approximately 5 years old). 3) Replace utility billing software which is not currently supported by the software vendor.
