Home My WebLink About#07 - Purchase of Pickup and 1 ton STAFF REPORT DATE: 8/21/2018 CONSENT ITEM #: 7 TO: City Council FROM: Rob Weldon, Public Works Director AGENDA ITEM: Purchase of a ¾ ton Pickup Truck and 1-Ton Truck/dump box REVIEWED BY: Kristina Handt, City Administrator Sue Iverson, Finance Director BACKGROUND: The City of Lake Elmo Public Works Department uses a wide array of vehicles to delivery daily and essential services to its residents. To accomplish daily tasks, the department utilizes 8 vehicles for its full and part-time staff to achieve daily and emergency tasks. With the growth of the community and increase in daily workloads and services, the department is having trouble in delivery of daily requirements with its existing fleet of vehicles, and at times personal vehicles are used to conduct city business. Included in the 2018 Capital Improvement Plan is the purchase of a new (additional) pickup to be utilized by the water and sewer utilities along with the replacement of a 2003 1-ton truck utilized for street work. ISSUE BEFORE COUNCIL: Does the City Council approve the purchase of these new trucks as recommended by the Maintenance Advisory Committee? PROPOSAL DETAILS/ANALYSIS: With the approval to purchase these two vehicles, the following will be achieved: • A new ¾ ton Pickup truck will fill the gap for vehicles that are needed to keep up with the growth based demand of water and sewer utility work. This vehicle will be equipped with equipment and tools that are needed on a daily basis as well as some common emergency supplies. • Replacement of the existing 2003 Ford 1-ton with a similar vehicle will eliminate costly repairs which are on the horizon for the existing vehicle. Two new options being considered for the new 1-ton are the addition of calibrated sanding equipment and anit-icing equipment to treat roads prior to snow falls. FISCAL IMPACT: Total cost for both vehicles will be an amount not to exceed $110,000. Funding for the proposed purchases will be through the Capital Outlay portion of the adopted 2018 Budget. • Chevy 2500 ¾ ton $40,000 (includes toolboxes and warning lights) • Ford F-450 1-ton $70,000 less grant of $4,327 = $65,673 It should be noted that in April 2018, Public Works applied for and was awarded a grant for reimbursement of 50% for the cost of anti-icing equipment included as part of the 1-ton purchase. An amount of $4,327 will be reimbursed to the city by South Washington Watershed District upon completed installation and delivery of the anti-icing equipment. OPTIONS: • Approve the purchase of two (2) trucks • Deny the purchase of two (2) trucks • Amend truck purchase and approve.
