I have aftached a caler�dar wiih suggested dates circled for your review. The meetings in January and July are on the second and fourth Wednesdays because of the New Year's Day and Fourth of July holidays. We would also like to discuss with Planning Comrnission the current practice af having ev�ry case go ta an agenda meeting and then an action meeting, and havin� the agenda and action meetings separate. The present time line for bringing cases to Planning Cammission is as follows: Deadline for submittal: Agenda meeting Action meeting Friday three weeks prior to agenda meeting (usually iast Friday oimonth) Tl�rd Wednesday of month First Wednesday of foliowing month Most of the cases handled by Planrung Commission must also be forwarded to City Council �or finat action. If an applicant submits on the deadline, it is 33 days from when a recommendation will be made by Pianning Commission and 52 days from when City Council takes action. If tne applicant submits somewhere in between deadlines, we a.re usualiy up against the 60 day rule. If an applicant rrusses the deadline for submittal, they must wait up to one month before ihey can submit again to get on the Planning Commission agenda for discussion. Many applicants are not aware of the lead time necessary to submit, and so miss the deadlines. Staff would like to propose that the Planning Commission agendas be divided into discussion and action items so that the longesi delay, if an appiicant misses a submittal deadline, is approximately two weeks. VVe would also like �o suggest that certain items such as conditional use permits £or oversized gara�es and for temporary outdoor sales, Iot sptits, sirr�pler variances be discussed and decided in the same n�eeting, if passibie. If Planning Commission felf that the case was not ready for decision, then it co�ald be continued to the next zneeting two weeks later. We felt that this was an appropriate time to bring up these issues, since we need to set the meeting schedule far next year.
