02/25/99 THU 11:50 FAX 6124474245 CITY OF PRIOR LAKE I]005 <br /> • Responsible for coordinating coverage of clerical staff during vacation, sick leave and other leave by <br /> arranging temporary help,etc. <br /> • Conduct research and obtain bids for such items as: janitorial service,elevator maintenance, carpet <br /> cleaning,office furniture and window washing as required. <br /> • Supervise building maintenance cleaning personnel and negotiate building and library maintenance <br /> contacts. <br /> • Responsible for supervision of minor repair inside building. <br /> • Personally provide information on municipal services and functions. <br /> • Maintain appointment schedules and issue meeting notices. <br /> • Answer various inquires with regard to city activities,meetings,and events. <br /> • Distribute material to Councilmembers. <br /> • Maintain Council minutes,records and tapes. <br /> • Coordinate codification and distribution of all newly enacted ordinances. <br /> • Maintain Resolution and Ordinance books Ordinance books and forward to appropriate jurisdiction. <br /> • Coordinate departmental microfiche. <br /> • Make travel arrangements for City Manager and Assistant City Manager. <br /> • Organize and prepare Council Chambers for Council meetings,i.e.,make coffee,place name plates, <br /> and setup sound system. <br /> • Perform other duties and assumes other responsibilities as apparent or assigned. <br /> ENVIRONMENTAL CONDITIONS: <br /> • General office conditions. <br /> PHYSICAL DEMANDS: <br /> • Rarely lifts more than ten pounds. <br /> MENTAL DEMANDS <br /> • May occasionally deal with angry or upset citizens. <br /> • Anxiety related to meeting deadlines with frequent disruptions. <br /> KNOWLEDGE.SKILLS AND ABILITIES: <br /> • Comprehensive knowledge of contemporary office and secretarial practices and procedures. <br /> • Must be familiar with City and secretarial organization and operation of municipal services or be <br /> able to rapidly acquire this knowledge. <br /> • Must have strong organizational skills including ability to establish and maintain an effective filing <br /> system for the Department. <br /> • Must be able to deal with the public and their complaints in a courteous and tactful manner. <br /> • Ability to exercise independent judgment in handling various administrative details. <br /> • Supervisory skills. <br /> • Comprehensive knowledge and command of grammar,spelling,arithmetic and vocabulary. <br /> • Ability to type with speed and accuracy. <br /> • Dictating equipment experience preferred. <br /> • Personal computer experience required,using software including word processing, spreadsheets and <br /> the like,within an MS Windows(3.1) environment. <br /> • Ability to establish and maintain effective working relationships with other employees and City <br /> officials. <br /> • Ability to work independently with little or no supervision. <br /> I:wrtslvoeaesaexsaCJ.DOC <br />
