Item No. 7L
Staff Report No.
Meeting Date: April 27, 1998
Type of Business: C.B.
WK: Work Session;PH:Public Hearing;
CA:Consent Agenda;CB:Council Business
City of Mounds View Staff Report
To: Honorable Mayor and City Council
• From: Michael Ulrich, Director of Public Works
Item Title/Subject: Consideration of Supplemental Services Agreement for Architectural
Services for Phase II Construction of the Community Center
Date of Report: April 21, 1998
For the second phase as well as the initial phase of construction of the Community Center, the
management team has scheduled weekly meetings. At these meetings the contractors, engineers,
architects, and management team discuss the future weeks schedule and any problems that have
developed in the current week. The attendance of all concerned parties is essential to avoid
delays and extra expenses. As with any remodeling project and even new construction, plans can
require changes or modifications.
In:the Standard Contract with WAI Continuum, WAI representatives will attend 12 meetings on
site during the construction phase. Staff feels that it is imperative that personnel from WAI attend
all, or nearly all of the weekly construction meetings. The presence of an architect that can make
• an on site decision to correct a problem immeadiately will be critical to the project.
Approximately 25 to 30 additional meetings will take place before the project is completed. WAI
has presented staff will a Supplemental Services Agreement and a cost of$260.00 to attend each
additional meeting.
Staff is recommending that Council authorize staff to sign this agreement. The source of funding
the additional $7,800.00 can be from the savings of the value engineering or contingency for the
project.
If Council has any questions regarding this report, please feel free to call me.
4telYer_40/7-----1• ichael Ulrich, Director of Public Works
RECOMMENDATION: Council authorize staff to sign the Supplemental Services Agreement
for additional attendance at construction meetings for phase II of the Community Center.
