Kessel, Finance Director <br /> Item Title/Subject: Food service at Community Center <br /> Date of Report: December 4, 1998 <br /> Several weeks ago, we placed an advertisement for requests for proposals for providing food <br /> service at the Community Center. We received one response from Elegant Thymes Catering, <br /> who does the food service at the New Brighton Family Services Center. Based upon a review of <br /> the proposal, discussions with Sharie Linke, and discussions with Maplewood and Columbia <br /> Heights,the proposal appears reasonable and advantageous to the City. The following are the <br /> general terms and conditions: <br /> • Exclusive agreement for two years, with annual renewals thereafter; <br /> • City to receive 7.5% of the gross catering charges; <br /> • Elegant Thymes to provide all linens, flatware, serving pieces for events, plus a <br /> dishwasher and coffee brewing equipment to be stored at the Community Center; <br /> • Elegant Thymes would be responsible for clean up of food related items after events. <br /> Other facilities have had problems with multiple caterers and they recommended exclusive <br /> arrangements. This also results in the City needing to provided fewer capital items such as <br /> dishwasher and coffee brewing equipment. <br /> Elegant Thymes provided sample menus which had prices ranging from$5.00 on up. The prices <br /> proposed seemed very reasonable for the menus proposed. In addition, based upon discussions <br /> with various individuals, the quality of the food and service is very high. <br /> As such, it is recommended that the City enter into a contract with Elegant Thymes Catering <br /> under the general terms and conditions of the attached contract. The contract will need to be <br /> refined and will also need to be reviewed and approved by the City Attorney. I would proposed <br /> that the City Council authorize you and the City Attorney to finalize a contract under the general <br /> terms and conditions outlined above and authorize you and the mayor to execute said contract. <br />
