IDEAS & SUGGESTIONS COMMITTEE <br /> MEETING MINUTES <br /> Wednesday, June 10, 1998 <br /> Present: Kevin Carroll, Steve Dorgan,Mary Saarion and Chuck Whiting. <br /> Suggestions written for the Ideas& Suggestions Committee were reviewed by the Committee and action <br /> suggested. They are as follows: <br /> 1. Tracy Juell suggested that the City spotlight a department staff in the newsletter to reacquaint the <br /> community with employees especially since there are many new faces. Tracy Sanchez,the <br /> committee coordinator has already been brought this suggestion to the Editorial Board and they <br /> are planning to highlight the Community Development Department in the next edition of the <br /> City Newsletter and other departments on later editions. <br /> 2. Kitty Hickok requested a clock instead of a traditional plaque for her 10-year service award <br /> instead of a plaque. Committee thought that this would be appropriate if a clock was in <br /> comparable cost to the cost of a traditional plaque. Tracy Sanchez has a catalogue of plaques <br /> and clocks. <br /> 3. Steve Dorgan suggested that the City get a container for recycling plastic bottles especially now <br /> with the plastic bottle pop machine. Tracy Sanchez has already ordered a plastic bottle recycling <br /> container. <br /> 4. Tracy Sanchez suggested if the City could provide a little gift of some sort for all employees that <br /> attend the employee golf outing. While the time is short, Steve Dorgan will try to contact some <br /> places to see if he can find something appropriate for a give away for employees. Kevin Carroll <br /> mentioned that it would be nice to have Mounds View pins to wear or trade at city functions <br /> including the League of MN Cities affairs, etc. and he has sent for information on costs, etc. for <br /> city pins. Steve Dorgan will look into opportunities to purchase and sell City of Mounds View <br /> shirts, sweatshirts,hats, etc. <br /> 5. Kevin Carroll suggested that staff work to improve the appearance of City Hall by less clutter <br /> and mess. It was suggested that each and every employee take the time to discard stuff that isn't <br /> needed,to file information,to unclutter stuff that is sitting around and move items such as the <br /> dolly, cart and recycling trash container. It was suggested that each Department staff work on <br /> their own individual working areas and public access areas to keep City Hall looking neat and <br /> uncluttered. The Administration department will organize an office clean up day. <br /> 6. Kevin Carroll suggested that each department look into the possibilies of consolidating data, <br /> reports, documents, filing and resources etc. into a single area so that information and files are <br /> not so spread out. For instance, instead of having information on Hwy 10 redevelopment in three <br /> different departments and three different bookshelves, consolidate to one area. Likewise it was <br /> suggested that individual departments consolidate information so that everyone knows where to <br /> go to find something. Chuck mentioned that in Administration,Tracy and Cari were working on <br /> consolidating files and information and setting a city policy for filing and organizing files on <br /> microfilm and other media sources. <br /> 7. Steve Dorgan asked if the striping of City Hall parking lot was scheduled. Chuck Whiting replied <br /> that because of possible changes to the parking lot, striping may not be done anytime soon. <br /> Meeting adjourned. INFO ' ` AT I O N <br /> ONLY <br />
