110
interoffice
MEMORANDUM
to: Chuck Whiting, Administrator
from: Mary Saarion, Director of Parks, Recreation&Forestry
subject: Trade-in of Cushman for new sprayer
date: April 8, 1997
A sprayer is one accessory that was requested for the new utility truck. While Jacobson bid the
best price for a new utility vehicle, it did not include a sprayer like the one that was specified. The
sprayer for the golf utility vehicle has increased specifications than needed for painting atb,s tic
fields. The sprayer for golf course accessory was $5,341. Again, that quality of a chemical
sprayer is not needed for the parks maintenance activity. Cushman, the other bidder, indicated the
cost of the specified sprayer as $2,337.68. Since the Cushman sprayer is attachable to t -
Jacobson vehicle, the best cost scenario would be to purchase the Jacobson Utility Vehicle from
North Star Turf and Supply, purchaseing the sprayer from Cushman separately. This combination
of costs is still less than the overall Cushman bid. Cushman has stated that they are willing to sell
the sprayer as an individual accessory.
In an effort to save the City additional money, negotiations were made with Cushman to trade-in
the old Cushman utility vehicle for the new sprayer. Cushman is willing to do this. This is a
benefit to the City because for one thing, it rids us of the old Cushman. This vehicle is old, parts
are not even available for it any longer (Steve had to make the parts the last two years). The
vehicle takes for time in maintaining than it is worth. Therefore, to trade the old Cushman for a
new sprayer which the City would have to pay $2,337.68 if not traded, is to the City's advantage.
The City has the option of awarding the utility truck bid to Jacobson for $15,474 and also pay for
the sprayer sold by Cushman for $2,337.68 for a total cost of$17,811.68 or purchase the
Jacobson utility vehicle from North Star Turf for $15,474 and trade in the old Cushman for the
sprayer at no additional cost for a total purchase price of$15,474. The better deal in my
estimation is the latter scenario as I recommended in the original memorandum dated April 4,
1997. The monetary savings to the City is $2,337.68.
•
