Meeting Date: July 28, 2008 Type of Business: Council Consent Administrator Review: _____ City of Mounds View Staff Report To: Honorable Mayor and City Council From: Mark Beer, Finance Director Item Title/Subject: Resolution 7305 Approving an Amendment to the YMCA Agreement for Professional Services – Event Center Staff Background: This item was reviewed and discussed by the City Council at the July work session. The Banquet Center has experienced a significant increase in facility rentals and the current YMCA staff member that is responsible for bookings and supervision of the events has not had sufficient time to devote to backfilling rentals during the week. This position is a 32 hour per week position as approved in resolution 6980. The YMCA Advisory Committee recommended that this position be made a full-time position. Discussion: As contemplated in the discussion of resolution 6980, the maximum of 32 hours per week may need to be re-evaluated if bookings increase substantially. It has been difficult for the event center staff to solicit bookings and return phone calls. Much of the 32 hours is spent supervising events and clean-up afterwards. Increasing this position to a full-time position will add $15,000 to $16,000 to the banquet center budget annually. It is anticipated that additional revenue would be generated if the event center staff has additional time to devote to bookings. To increase this position to a full-time position effective August 1, 2008, Council would need to increase the budget by $5,700 for the last 5 months of 2008 and direct staff to amend the Agreement for Professional Services with the YMCA. Recommendation: Staff recommends approval of resolution 7305 approving an amendment to the YMCA agreement for professional services. Respectfully Submitted, Mark Beer
