Item No: 7F <br />Meeting Date: March 13, 2017 <br />Type of Business: Council Business <br />Administrator Review: ____ <br /> <br />City of Mounds View Staff Report To: Honorable Mayor and City Council <br />From: Don Peterson, Public Works Supervisor <br />Item Title/Subject: Resolution 8733 Authorizing a Budget Adjustment for the Mounds <br />View Community Center Building Alterations <br />Background: <br />At the October 10, 2016 Council meeting, the City Council approved Resolution 8637 for building <br />alterations at the Mounds View Community Center. <br /> <br />One of the alterations at the Community Center was to expand rooms A108 and A110. The vendor <br />realized that the space was not adequate for what was proposed and a meeting was scheduled with <br />the newly hired Program Director and Staff to discuss options and solutions. <br /> <br />Discussion between Staff and YMCA resulted in a new and efficient idea for A108 and A110 <br />alterations. The Event Director suggested that classroom style tables would be more beneficial to the <br />Community Center than a combined training room, as more renters are requesting this type of table. <br /> <br />Another item that has not been completed are the room name signs. Staff is working with the State <br />Vendor regarding the signs and continues to work through proofing issues, Staff continues to also <br />work with the vendor for the main office electronic door lock. <br /> <br />The contractor had a few start delays within their organization and with the City’s change of plans it <br />became evident that the alterations would not be completed by the end of 2016. <br /> <br />At the December 12, 2016 Council Meeting, Public Works Staff verbally asked the City Council for <br />approval with this change in the plans; Council was in favor of this and instructed Staff to move <br />forward. Staff received the costs for the tables requested and it is necessary to have the purchase <br />approved by Council. <br /> <br />Discussion: <br />Public Works did meet with the Finance Director and discussed options for completing these building <br />alterations. Staff concluded that a request of the City Council for a budget adjustment in account <br />480-4180-7050 would be required in the 2017 budget in order to have these projects completed. The <br />following is a summary of the projects not completed: <br /> <br />Training Tables $9,350.00 <br />Room Name Signs $2,611.16 <br />Main Office Electronic Door Lock $1,796.39 <br />Total cost for the additional alterations $13,757.55 <br /> <br />Recommendation: <br />Staff recommends the City Council adopt the attached resolution in order to complete the building <br />alterations to the Mounds View Community Center, in the amount of $13,757.55 from account 480- <br />4180-7050. <br /> <br />Respectfully submitted, <br /> <br />Don Peterson, P.E. – Public Works Supervisor <br />Attached: Staff report dated October 1, 2016
