Richie, Public Works Project Coordinator Item Title/Subject: Resolution 8767, Approve Amendment to Agreement with Oertel Architects Introduction: The City Council is asked approve the attached resolution approving an amendment to the agreement with Oertel Architects for additional design related services on the Public Works Facility (City Project No. 2017-C02). Discussion: Design services for the Public Works Facility were awarded to Oertel Architects on April 25, 2016 via Resolution 8561 in the amount of $247,860.00. Additionally, a contingency of $12,000 was included as part of Resolution 8561. Thus the total amount for design services under Resolution 8561 is $259,860.00. Since the start of the design work there were some additional structural and mechanical engineering design services required. These services included: • Building layout change. As part of a discussion at a work session, the building layout was adjusted to move the office area from the northeast corner to the southwest corner. This resulted in additional structural design costs. • Cost reductions/value engineering. In an effort to reduce the construction cost of the building a maintenance bay was removed and the office area was reduced. This resulted in additional structural design costs. • Cold storage area adjustments. As the design developed the cold storage area was adjusted to allow for the inclusion of workshop spaces and this caused a change in the HVAC and fire suppression system. This resulted in additional mechanical design costs. These additional services have resulted in a total additional subconsultant cost of $25,700.00. No additional costs from Oertel have been incurred. In order to account for potential additional services, staff would recommend a small contingency $1,300 remain available for design services. Taking all this into account ththe final result is an additional cost of $16,000.00. This information summarized in the following table.
