Item 1A
City Council Work Session
Page 4

document camera can have zoom, focus, iris, and white balance remotely controlled. The
person presenting information would be able to make their own adjustments to the
appearance of information on the projector. Currently, presenters need to verbally request
any changes so the technician in the Control Room can operate the equipment controls.
This verbal exchange can be distracting to the flow of the meeting to participants, and the
video technician is also running all of the video and audio systems in addition to the
presentation controls.

In addition to meetings of the City Council, Commissions, and Committees, other groups
use the Council Chamber as a meeting space for non-televised meetings. Having control
surfaces located in the Council Chamber would facilitate presentations when there is not a
video technician available.

Recommendation:

Staff is looking for direction from Council regarding the new podium and other
improvements:
• Is an off-the-shelf product acceptable?
• Should a podium be custom-built to match the finish in the Chamber?
• Should an addition television monitor be installed?
• If so, as part of the podium or ceiling-mounted?
• Is there support for installation of additional controls for the projector?
• Are there other considerations not yet mentioned?

Respectfully Submitted,

Vanessa Van Alstine
Cable Television Coordinator
