Item 05
Work Session June 1, 2009
Page 2

The $1,000.00 for the Car and Tractor Show would cover for the Dash Plaques, trophies and
the music DJ.

Staff removed the request for insurance funding. Staff felt that the liability should be on the
Festival Committee, and not the City. If the City were to pay for the insurance, then there
may be a perception that the City is organizing and managing the Festival, and not the
Festival in the Park Committee. Staff wants to ensure that liability falls on the Festival
Committee and not the City.

Last year the City assisted the Festival Committee by making payments, not to exceed
$5,300, to assist the Festival Committee in payment of Insurance, Professional Bands, Port-
a-Potties, Irondale Marching Band, use of City Copier Machine, and the Car and Tractor
Show. In addition, the 50th Anniversary Committee provided assistance in additional
expenditures for parade activities and children entertainment not to exceed $2,675.00. This
year, the Festival Committee is requesting assistance from the City, not to exceed $5,000, for
payment of Professional Bands, Port-a-Potties, Irondale Marching Band, use of City Copier
Machine, Car and Tractor Show, and Parade and Children Entertainment.

Attached is a draft of the 2009 Festival Agreement for your review. If the City Council agrees
with expenditures and language of the agreement, then Staff will forward the agreement to
the City Attorney for his review. This agreement is currently scheduled for City Council
approval at the June 22, 2009, City Council Meeting.

Respectfully submitted,
Desaree Crane
