attachment to the security cabinet. Since this cabinet is stainless steel there is
very little maintenance.

Although not required, you have the option of purchasing a Service Agreement,
which costs $32.00 a month. This Service Agreement includes maintenance for
all exposures, $1,500 indemnity of break-in cash loss, and $2 million dollars in
general site liability. Staff does not feel that there is a need for this service
agreement, but the service agreement is attached for your reference.

Option Two – Public Works builds a Drive-by Utility Drop Box

Public Works Employees are able to build a Drive-by Utility Drop Box, however, it
will take a lot of staff time to design and maintain it. Pubic Works Staff is not
equipped to weld Stainless Steel. There would be maintenance issues with a
non-stainless steel box to include painting, rust prevention, and daily upkeep.

Staff is also concerned with security. Money would be put in this box, and Staff
must be assured that no one is able to break into the Utility Drop Box. The Utility
must be secure and be able to “take a beating.”

Recommendation: Staff recommends that the City Council approve the
purchase the Utility Drive-by Drop Box from American Security Cabinets for the
amount of $1,714.00 (without service agreement) based upon resident needs
and more accessibility in paying utility bills. Funding would be divided among
the utility funds.

Respectfully Submitted,

___________________________
Desaree Crane
Administrative Assistant
