He noted a similar situation two weeks prior, during a snowstorm, when he <br />had been unaware that the Planning Commission meeting was cancelled, and only learned of this <br />upon coming to City Hall. He pointed out that the Bylaws indicate the Commissioners shall be <br />notified of such occurrences by telephone. He commented that in the past, a variety of different <br />notification practices have been utilized, however, in this situation the procedure had broken <br />down. <br /> <br />Community Development Director Jopke explained that he had attempted to call each <br />Commissioner regarding the meeting cancellation, and had left a voice message for Chairperson <br />Peterson. <br /> <br />Commissioner Miller indicated that the Page 5 of the Bylaws, last paragraph, last sentence, <br />refers to a “revised meeting schedule.” She requested clarification, pointing out that the <br />Planning Commission’s meeting schedule had been previously approved. <br /> <br />Community Development Director Jopke stated this entire sentence appeared to pertain to the <br />Planning Commission’s 1999 meeting schedule, and suggested it be stricken from the Bylaws. <br />Commissioner Stevenson stated he agreed. <br /> <br />Chairperson Peterson agreed. He explained out that current practice provides that the meeting <br />schedule is established in January, and the review of the Bylaws takes place in February, <br />therefore, the situation where both meeting schedules are incorporated into the same resolution <br />should not reoccur. <br /> <br />Commissioner Miller advised that that the top of the first page of the Bylaws should indicate <br />“Revised March 2, 2000.” <br /> <br />MOTION/SECOND: Stevenson/Laube. To Approve the Bylaws, as Amended, and Item No. 4, <br />Subparagraph A, Last Sentence, Indicate “…secretary for the Commission for the purpose…”, <br />Subparagraph B Indicate “At its first meeting in January, the Commission shall conduct an <br />election in order to make its recommendation of a chairperson. The name of the person <br />recommended for chairperson shall be forwarded to the City Council at its next meeting in <br />January. Based upon the recommendation of the Planning Commission, the Mayor, with the <br />approval of the City Council shall appoint…”, the Last Sentence, on Page 5, Last Paragraph, be <br />Stricken, and that the First Page of the Bylaws Indicate “Revised March 2, 2000.” <br /> <br /> Ayes – 8 Nays – 0 The motion carried. <br /> <br /> <br />7.
