Item No.7B <br />Type of Business:CB <br />WK: Work Session; PH: Public Hearing; <br />CA: Consent Agenda; CB: Council Business <br />City of Mounds View Staff Report <br />To: Honorable Mayor and City Council <br />From: Givonna Reed, Assistant to the City Administrator <br />Item Title/Subject: School District’s Use of the Banquet Center for the <br />2001 School Board Election <br />Date of Report: September 10, 2001 <br /> <br />The Council will recall that at the September 4, 2001 Work Session there was discussion <br />regarding whether the school district would be allowed to use the Banquet Center for the <br />2001 School Board election free of charge. The Council asked that additional <br />information be presented at the September 10, 2001 Council Meeting. <br /> <br />I have spoken with a representative of the school district and I was advised that the <br />school district has adopted a policy that requires that the school district use the same <br />venue for elections that cities use. In the past, the school district worked with the <br />owners of the Bell Rae regarding use of the facility and worked directly with staff for use <br />and set up/take down of voting booths. The school district does not use the City’s voting <br />machines. <br /> <br />Below are options for the Council to consider: <br /> <br />• Option 1: authorize free use of the Banquet Center, equipment and <br /> staff time for set up/take down <br />• Option 2: charge a discounted rate for use of the Banquet Center, <br /> equipment and staff time for set up/take down <br />• Option 3: charge full price for use of the Banquet Center, <br /> equipment and staff time for set up/take down <br /> <br />Please note that the full rate for use of the banquet center is $600. The Banquet Center <br />would need to be set up the evening before the election which might require overtime. <br />Also, the equipment would need to be taken down the morning after the election. <br /> <br />Staff is seeking direction from the Council regarding whether and how much the school <br />district should be charged for use of the Banquet Center and use and set up/take down <br />of voting booths. <br /> <br />Respectfully Submitted, <br /> <br /> <br /> <br />Givonna Reed
