Item No. 7F <br />Type of Business: CB <br />WK: Work Session; PH: Public Hearing; <br />CA: Consent Agenda; CB: Council Business City of Mounds View Staff Report <br />To: Honorable Mayor and City Council <br />From: Charles Hansen, Finance Director <br />Item Title/Subject: Just and Correct Claims List <br />Date of Report: December 6, 2001 <br /> <br />Included in the agenda packets for the first regular City Council meeting in <br />November were two versions of the Just and Correct Claims Lists. The second <br />regular City Council meeting in November had three versions of the Just and <br />Correct Claims Lists. This was done in order to provide the City Council with <br />information and detail that were lacking in the claims list provided prior to <br />November. <br /> <br />The new versions were provided in an effort to find a new format that best meets <br />the needs of the City Council. The City Council may not yet have seen these <br />enough times to have settled on a preference. Both new versions can be <br />provided for as long as desired. <br /> <br />In the long run, it will be best to settle on a single version of the claims list. This <br />will both reduce copying costs and eliminate possible confusion from people <br />looking at different versions of the claims list during discussion at a City Council <br />meeting. <br /> <br />The oldest version is titled “FM Entry – Invoice Payment – Approval of Bills” on <br />the top of each page. One new version is titled “FM Entry – Invoice Cash <br />Disbursement Journal” on the top of each page. The other new version is titled <br />“FM Entry – Invoice – Check Register” on the top of each page. <br /> <br />The Check Register is the longest of the versions, but may be the easiest to <br />read. It also seems to be the most flexible in terms of the computer allowing us <br />to order a report with payrolls checks, hand written checks, and regular checks. <br /> <br />When the City Council is ready, I would welcome direction to provide just a single <br />version of the Just and Correct Claims List. <br /> <br />A check to U.R.S. was pulled from the November 26 Claims List and not <br />released. It is my understanding that the City Council is ready to release the <br />check at this time. It appears on a separate page at the front of the Claims List <br />and will be released on December 11th unless the City Council instructs me not <br />to.
