Item No: 5.F <br />MOUN-DS <br />t TT,-•�, TMeeting Date: June 24, sent �/l��/ Type of Business: Council Consent <br />Administrator Review: <br />City of Mounds View Staff Report <br />To: Honorable Mayor and City Council <br />From: Mark Beer, Finance Director <br />Item Title/Subject: Resolution 9127 Authorizing Purchase of Three <br />Copy Machines and maintenance agreement <br />The City utilizes three copy machines that are due for replacement. The machines to be <br />replaced are the main copy room, police, and finance/community development departments. <br />Staff sent out requests for proposals (RFP) to 6 vendors and the quote tabulation is attached. <br />The last time these copiers were replaced was in February of 2014, and at that time the <br />purchase price was $18,200. The low bid for purchase this time is $13,814. The cost of the <br />machines has dropped by 24% over 2014. <br />The attached resolution authorizes the purchase of three copiers and trade-in or auction of <br />the old machines. The Vehicle and Equipment fund has an appropriation of $20,500 for the <br />purchase (460-4160-7030). The maintenance agreement will be locked for 5 years with no <br />price increase and that would be paid out of the General fund. <br />Strategic Plan Strategy/Goal: <br />- Operate under a balanced budget that meets the needs and goals of the community <br />Financial Impact: <br />- Equipment cost $13,814 budget $20,500, future annual maintenance $4,386 <br />Respectfully Submitted, <br />Mark Beer, Finance Director <br />
