MONITORING & CONFIDENTIALITY <br /> <br />The equipment, systems and services assigned by the City are the property of the City. <br />The City has the right to monitor any use consistent with governing law. While the City <br />does not actively read end-user email, email messages may be read by IT staff during <br />the normal course of managing the email system. Employees should have no expectation <br />of privacy in any message or content that you store, receive, or send using City property <br />or systems. <br /> <br />Use extreme caution when communicating confidential or sensitive information via email <br />or over the internet or intranet. All email messages sent outside of the City and intranet <br />activity become the property of the receiver. A good rule is to not communicate or receive <br />anything that you wouldn’t feel comfortable being publicly known. Demonstrate particular <br />care when using the “Reply” command during email correspondence. In addition, backup <br />copies of email messages may exist, despite end-user deletion, in compliance with the <br />City’s records retention policy. The goals of these backup and archiving procedures are <br />to ensure system reliability and prevent business data loss. <br /> <br />J. Users are solely responsible for any material that they access and <br />disseminate. REPORTING VIOLATIONS <br /> <br />Allegations of misuse must be promptly reported as other complaints or violations are <br />reported, through the chain of command. If you receive an offensive email, report it <br />immediately and do not forward, delete, or reply to the message. If an employee knows <br />or suspects that their password may have been compromised, report to the IT Department <br />and change the password immediately. <br /> <br />Violations <br />Violations of this policy will be treated like other allegations of wrongdoing at the City. <br />Allegations of misconduct will be adjudicated according to procedures of investigation. <br />Discipline for inappropriate use will be progressive up to and including termination of <br />employment and legal action. <br /> <br />
