Item No: 813 Meeting Date: November 8, 2021 MOUNDS Vtrw Type o Business: CB Administrator Review: City of Mounds View Staff Report To: Honorable Mayor and City Council From: Don Peterson, Director of Public Works/Parks and Recreation Item Title/Subject: Resolution 9487, Approve the adding of a Conference Room and other City Hall Improvements Background/ Discussion: The City Council approved remodeling City Hall and the Police Department on May 19, 2019, Resolution 9112, the Council also approved installing replacement carpet and painting on February 24, 2020, Resolution 9247. During the discussions of the remodel Staff recommended adding a conference room along with some other additional small improvements to City Hall, (fitness area in basement, new reception area for administration). The conference room was not completed but was added to Special Projects budget to be completed in the future. Recently the Police Department has held several training sessions and interviews in the City Council Chambers, with the glass doors of the Council Chambers these meetings have appeared open to the Public. Staff is seeking Council approval to move forward with the following improvements at City Hall: 1) Building a new Conference/Training Room in the Administration Area 2) Installing rubber flooring in the fitness area 3) Reupholster the panels behind the dais in the Council Chambers 4) Finish the tile work in the City Hall lobby Staff has received one proposal for the work and will be meeting with a second contractor to provide another bid. The Current proposal costs are as follows; 1) Building of a new Conference Room - $29,643.00 (includes technology and furniture) 2) Adding rubber flooring in fitness area-$21,034.20 3) Reupholster the panels behind the dais in the Council Chambers $4,332.90 4) Finish the tile work in the City Hall lobby $6,620.00 Strategic Plan Strategy/Goal: Maintain and Plan for Infrastructure Improvements. Goal Focus efforts on recruiting good employees and providing an environment to keep them. Financial Impact: No Financial Impact to the 2021 Budget, as funding is in the Special Project Fund of 480-4160 for this project. Recommendation: Staff recommends the City Council approve the attached Resolution for these City Hall improvements not to exceed the amounts listed for each project.
