MOUN-DS <br /> = rIEWgItem No: 8B <br /> �/iL�� Meeting Date: September 9, 2024 <br /> Type of Business: Council Business <br /> Administrator Review: <br /> City of Mounds View Staff Report <br /> To: Honorable Mayor and City Council <br /> From: Don Peterson, Public Works Director <br /> Item Title/Subject: Resolution 9982, Approval of Service Contracts with Trane <br /> Building Services for Heating Ventilation and Air Conditioning <br /> (HVAC) at City Hall and the Community Center <br /> Background: <br /> The City owns thirteen separate facilities with heating, ventilation and air conditioning <br /> (HVAC) equipment, which require more complex contractor assistance with preventative <br /> maintenance to allow reliable, efficient and safe operation while providing comfortable <br /> indoor air climates. While the Public Works Staff can perform limited and basic <br /> maintenance, City Staff is not trained and nor the necessary credentials to perform the <br /> required annual inspections and testing on the majority of the HVAC systems, especially <br /> those at City Hall and the Community Center. The City has traditionally contracted with <br /> qualified HVAC contractors to perform this needed service, most recently with Trane <br /> Building Services. <br /> Discussion: <br /> Service agreements with Trane have expired and the Public Works Staff recently <br /> evaluated the best approach to perform preventative maintenance to the HVAC <br /> equipment needs for reliable efficient and cost-effective operations. After careful <br /> consideration, Public Works is recommending that Trane Building Services perform BAS <br /> and HVAC equipment maintenance to City Hall and Community Center Facilities. The <br /> following is a break down for the costs: <br /> Trane Building Services City Hall: <br /> Year 1: $3,157.50/quarter ($12,630.00 annually) <br /> Year 2: $3,515.75/quarter ($13,263.00 annually) <br /> Year 3: $3,481.50/quarter ($13,926.00 annually) <br /> Year 4: $3,655.25/quarter ($14,621.00 annually) <br /> Year 5: $3,838.25.00/quarter ($15,353.00 annually) <br /> Trane Building Services Community Center: <br /> Year 1: $3,778.50/quarter ($15,114.00 annually) <br /> Year 2: $3,967.50/quarter ($15,870.00 annually) <br /> Year 3: $4,166.00/quarter ($16,664.00 annually) <br /> Year 4: $4,374.25/quarter ($17,497.00 annually) <br /> Year 5: $4,593.00/quarter ($18.372.00 annually) <br /> The Mounds View Vision <br /> A Thriving Desirable Community <br />
