MOUN-DS <br /> = rIEWgItem No: 8F <br /> �/iL�� Meeting Date: September 23, 2024 <br /> Type of Business: Council Business <br /> Administrator Review: <br /> City of Mounds View Staff Report <br /> To: Honorable Mayor and City Council <br /> From: Don Peterson, Director of Public Works/Parks and Recreation <br /> Item Title/Subject: Resolution 9987, Approval of Service Contracts with Architect <br /> Mechanical Inc. for Heating Ventilation and Air Conditioning (HVAC) <br /> at the Public Works Facility, Park Buildings and Water Treatment <br /> Plants <br /> Background: <br /> The City owns thirteen separate facilities with heating, ventilation and air conditioning <br /> (HVAC) equipment, which require more complex contractor assistance with preventative <br /> maintenance to allow reliable, efficient and safe operation while providing comfortable <br /> indoor air climates. While the Public Works Staff can perform limited and basic <br /> maintenance, City Staff is not trained and nor the necessary credentials to perform the <br /> required annual inspections and testing on the majority of the HVAC systems, especially <br /> those at the Public Works Facility, Park Buildings and Water Treatment Plants. The City <br /> has traditionally contracted with qualified HVAC contractors to perform this needed <br /> service, most recently with Architect Mechanical Inc. <br /> Discussion: <br /> Service agreements with Architect Mechanical Inc. have expired and the Public Works <br /> Staff recently evaluated the best approach to perform preventative maintenance to the <br /> HVAC equipment needs for reliable efficient and cost-effective operations. After careful <br /> consideration, Public Works is recommending that Architect Mechanical Inc. perform <br /> HVAC equipment maintenance to Public Works, Parks Buildings and Water Treatment <br /> Plant Facilities. The following is a break down for the costs: <br /> Architect Mechanical Inc.: <br /> Year 1: $8,250.00 annually <br /> Year 2: $8,662.00 annually <br /> Year 3: $9,075.00 annually <br /> Year 4: $9,570.00 annually <br /> Year 5: $10,048.00 annually <br /> Strategic Plan Strategy/Goal: Maintain and Plan for Infrastructure Improvements. <br /> Financial Impact No impact to the 2024 budget, funds 100-4460-3030, and 100-4360- <br /> 5120 and 700-4823-5120 and, would be used for this service.
