T0: Mayor & Council <br />FROM: Finance Director <br />\BATE: December 5, 1984 <br />RE: Microfiche Readers <br />The Ramsey County Consortium of Municipalities, (RCCM)1 which <br />provides the City with data processing services, has the capability <br />for computer output to microfiche (COM). This means that our utility <br />billings and financial data can be transferred from the magnetic tape <br />it is stored upon directly to microfiche at a very low cost. One <br />fiche which holds 237 pages would cost $1.75. For approximately $75, <br />three years accounting and utility records could be put on microfiche. <br />Doing so would greatly alleviate our storage problems. Two six foot <br />storage cabinets could be emptied. Presently the Cities of White <br />Bear Lake and Chanhassen, who are RCCM members, have their reports <br />put on microfiche. Finance Department staff in those cities are very <br />satisfied with the arrangement. I propose that we do the same. <br />Microfiche readers are relatively inexpensive. A Micron 780 reader, <br />the model used by White Bear Lake and Chanhassen, may be purchased for <br />$212. I recommend purchase of two: one for our Utility Accounting <br />Clerk and the other for our Accountant. <br />Total cost of microfiche and two readers is estimated to be $500. <br />These items were not included in the 1984 Budget. Sufficient monies <br />remain in the City Hall and Water Fund to purchase these items and <br />still remain within budget. <br />RECOMMENDATION: Council authorize the microfilming of Finance <br />Department records and the purchase of two microfiche readers at a <br />cost not to exceed $500 with monies from the 1984 City Hall and Water <br />Fund Budgets. <br />DB/ds <br />
