CTO: Mayor 6 Council <br />FROM: Finance Director -Treasurer Brager <br />DATE: February 20, 1985 <br />RE: MAINTENANCE CONTRACT FOR DICTATION EQUIPMENT <br />Upon reviewing costs of repairs for the City's dictation equipment <br />for the past year I found that approximately $300.00 had been ex- <br />pended for repairs to transcribers and/or dictaphones owned by the <br />City. I contacted Precision Business Systems, Inc. and inquired <br />as to the costs of annual maintenance agreement for our dictation <br />equipment and found that a maintenance agreement could be obtained <br />at a cost of $40.00 per machine per year. The City has twelve <br />dictaphones and/or transcribers so the total annual cost would be <br />$480.00. A maintenance agreement would cover parts, labor and <br />travel, loaner services needed, an annual inspection and adjustment <br />and the response time if repairs were needed would be 24 hours. <br />Based on the past costs of repairs to our dictation equipment and <br />the fact that our dictation equipment is approximately five years <br />old I would recommend entering into a maintenance agreement with <br />the Precision Business Systems, Inc. for our dictation equipment. <br />( This matter was discu3sed at a recent department head meeting and <br />the City Clerk -Administrator and the dcpartment heads are in agree- <br />ment that a maintenance agreement on our dictation equipment would <br />be cost effective for the City. <br />RECOMMENDATION: Authorize purchase of a maintenance agreement on <br />City dictation equipment from Precision Business <br />Systems, Inc. at a cost of $480.00 annually. <br />DB/ds <br />
