X <br />� �3 <br />TO: Mayor & Council n <br />FROM: Finance Director -Treasurer Brager <br />DATE: December 17, 1986 <br />RE: PURCHASE OF TWO PERSONAL COMPUTERS <br />Since my December 11, 1986 memo on the above referenced <br />subject I have reduced the total purchase price from $7,810 to <br />$7,168 for a total price reduction of $642. These reductions <br />are the result of negotiated price reductions on the printers <br />proposed and a reconfiguration of one system. <br />After writing the original memo on this subject I found a <br />computer supply dealer that stated they could sell us the <br />printers bid at a discount of 25% off list price. Since the <br />dealer did not also sell computers I contacted Ameridata, the <br />low bidder on the computers, and they agreed to match the <br />price on the printers. That results in an additional savings <br />of $132 on the printers. <br />After reviewing the configuration of the personal computer <br />that would be used by the Accountant, Finance Department Staff <br />concluded that graphics capabilities would not be needed. <br />Therefore, a graphics card priced at $285 would not be <br />needed. In addition Finance Staff concluded that an <br />asynchronous port and cable priced at $100 would net be needed <br />for both units since only one system would have a modem and <br />only o:.� 931 Emulation software package is needed because one <br />was purchased with the TI mini -computer for our present IBM PC <br />and could be used for the new PC instead. <br />The sum of these changes reduces the total purchase price by <br />$642 to $7,168. The new pricing and configuration of these <br />PC's is contained in Exhibits I & II. Staff proposes that; <br />for budgetary considerations, the printers and cables and the <br />931 Emulation software priced at $1,758 be charged to the 1986 <br />Budget and that the balance of the system priced at $5,410 be <br />charged to the 1987 Budget. Staff further proposes that <br />annual maintenance contracts for each system be purchased from <br />Ameridata at a cost of $648 per system. Purchase of the <br />maintenance contracts now enables the City to receive a waiver <br />of installation charges of $205. <br />RECOMMENDATION: Authorize the purchase of two IBM Personal <br />Computer Systems from Ameridata Systems, Inc. at a cost of <br />$7,168 with $1,758 being charged to the 1986 Budget, Accounts <br />100-190-4703, $879; 700-120-4703, $440; 730-120-4703, $439 and <br />$5,410 being charged to the 1987 Budget, Account 100-120-4703 <br />and the purchase of annual maintenance contracts for a cost of <br />$1,296 to be charged to the 1987 Budget, Accounts 100-190-4513 <br />$648; 700-120-4513, $324; 730-120-4513, $324. <br />DB/ds <br />
