MEMORANDUM <br /> DATE : April 8 , 1982 <br /> TO: Dave Childs , City Manager <br /> Department Heads <br /> Ron Berg , Administrative Assistant <br /> FROM: Connie Kroeplin , Secretary <br /> SUBJECT : Notes on the April 7th Staff Meeting <br /> ----------------------------------------------------------------------- <br /> The meeting began at 9 : 05 A.M. Present were : Carol Johnson ; Dave . <br /> Childs ; Ron Berg; Larry Hamer; Lee Entner; Don Hickerson; Connie <br /> Kroeplin. Ray Nelson was absent. <br /> Carol Johnson began discussions with comments on her attendance at <br /> the State Clerk ' s Conference , which was held at Moorhead , Minnesota. <br /> There then ensued a lengthy discussion on records retention and filing. <br /> She said that at the session she attended on this subject the speaker <br /> demonstrated how verticle files were preferable to out-dated cabinets , <br /> listing space saving and easy accessibolity to file folders as two <br /> reasons . <br /> Microfilming was thoroughly discussed . It is a very expensive pro- <br /> cess , however , it 's benefits are extremely desirable . Conn Rapids <br /> has purchased a microfilming process and has invited staff to view <br /> it. We could also co=lder rent with an option to buy . The question <br /> of the length of time building plans must be retained arose . Mr. Hamer <br /> said he would look into=`iris matter. <br /> Connie Kroeplin spoke concerning the copy machine . Three staff members <br /> (secretarial) were given demonstrations of six different copy machines <br /> (Canon, Ricoh, Savin , Sharp , Toshiba and Royal) . When polled, the <br /> Canon and Ricoh machines appeared to be the favorites . These two <br /> machines will be given a trial run at the City ' s administrative office . <br /> The City Manager informed staff of the cost difference in those two <br /> machines and stated that no machine can be purchased until written quotes <br /> have been received. <br /> Don Hickerson reviewed the effects of the changes on the DWI statutes <br /> on the City . For example , several misdemeanors have been changed to <br /> gross misdemeanors . <br /> Burglaries have decreas(:..d in the City , however, as Chief Hickerson <br /> pointed out, there are :;till a number of them occurring (possible <br /> 2 or 3 "rings " ) . <br /> Chief Hickerson said we have two reserves at the present time . There <br /> have been difficulties in trying to get them together for training <br /> sessions , but work is continuing. <br /> • Lee Entner said because the siren by the City Hall malfunctioned during <br /> the first test , another test would be run on April 7th . Mr. Hamer <br /> suggested a maintenance program for the sires be set up. There was <br />
