a e <br /> Negotiation activities include the following: <br /> • Meet with Client's staff to discuss project coordination,timing and procedures. <br /> Attend any other meetings with staff as required. <br /> • Read appraisal and review and discuss with appraisers as necessary. <br /> • Prepare just compensation Offer Letter for the Client's signature on all parcels. <br /> • Prepare landowners information booklet for each parcel. <br /> • Deliver Offer Letter and booklet to owners and begin negotiations. <br /> • In negotiations, gather information and work towards resolving disagreements and <br /> disputes to get a purchase agreement signed. <br /> • All written and oral communication will be documented in each file. <br /> • Prepare a weekly report on status of negotiations. <br /> • If condemnation is necessary provide services as directed by Client's attorney <br /> Steps in providing relocation assistance services include: <br /> • Initial meeting with the Client's staff to discuss project coordination and <br /> procedures, meetings with each owner and occupant to provide written general <br /> information on relocation benefits, documentation requirements, and the process <br /> applicable to each of their situation. <br /> • Determine needs and preferences for the move and replacement location for the <br /> owner and occupants. Explain relocation benefits, the process involved with <br /> relocation, and the payment documentation requirements. <br /> • Offer advisory services regarding the move, explanations of relocation benefits and <br /> procedures, and other assistance as necessary. <br /> • Preparing the required Notices of Eligibility for Relocation Assistance and 90-day <br /> Notices to Vacate per the relocation regulations, for the Clients staffs review and <br /> signature. <br /> • Assisting the occupants in identifying and documenting eligible, reimbursable <br /> relocation costs and confirming the submitted costs are reasonable and necessary <br /> per the regulations. <br /> • Research for and provide referrals to available replacement properties, as <br /> requested. <br /> • Preparing claims for relocation payment and making recommendations to the <br /> Client regarding the eligibility of relocation benefits requested by the occupants. <br /> • Throughout the project, addressing questions and concerns of the occupants, and <br /> advising the occupants of their rights and obligations in the relocation process. <br /> • Throughout the project, reviewing the project/relocation status and reviewing any <br /> questions and concerns of the Client. <br />
