Technological Advances <br />PAYROLL UPLOAD <br />In 2014, an electronic payroll submission form unique to each department was created to allow each <br />department to submit pay information. This information is in a format that can be uploaded into the ADP <br />system, eliminating manual entry of payroll information each pay period. This was implemented to help <br />eliminate clerical errors, reduce the amount of paper required to process payroll and move each department a <br />step closer to eliminating all paper in their overall payroll process. <br />This enhancement reduced the time need for input and validation from roughly 2-4 hours to about 15 minutes. <br /> <br />PAPERLESS PAY STUBS <br />In the fall of 2014, ADP simplifi ed the process for employees to enroll in electronic delivery of their bi-weekly pay <br />stubs. This presented the best opportunity for the Finance Department to roll out the feature to all City staff . This <br />option allows for not only eliminating the paper pay stub, but also allows for staff to view pay stubs and annual <br />W-2’s through the secure ADP portal. With this tool installed an employee gains the ability to self-manage their tax <br />withholdings and direct deposit information, and view their available paid time off balance. <br />MISSISSIPPI WATERSHED ON METRO I-NET <br />As a part of the expanded fi nancial services agreement with the Mississippi Watershed Management Organization <br />(MWMO), the Finance Department worked with the MWMO and the Caselle Civic software vendor to consolidate <br />and streamline the organization’s general ledger. <br />Congruently, the MWMO joined the Metro I-Net consortium, which allows for the Finance Department to provide <br />the Dashboard feature to MWMO staff for researching paid invoices details and coding information, and viewing <br />the budget versus actual status for various projects or program they manage. The manager’s immediate access to <br />the fi nancial information enhances their ability to manage their projects eff ectively.
