G.3 <br />To: Hugo City Council <br />From: City Clerk Michele Lindau <br />Date: May 10, 2016 for Council Meeting on May 16, 2016 <br />Re: 5K Color Run on June 4, 2016 <br />1. BACKGROUND: <br />Memorandum <br />The Forest Lake Wavemakers has applied for a Special Event Permit for approval of a 5K <br />Color Run on Saturday, June 4, 2016. This requires a Special Event Permit approved by <br />Council because the event is expected to draw between 300-500 participants and there <br />will be amplified sound. <br />2. DESCRIPTION OF EVENT: <br />The 5K Color Run is a fundraising event to be put on by the Forest Lake Wavemakers to <br />support the Forest Lake High School's aquatics program. The event will take place at <br />Woodloch Stables from 8 a.m. to noon. The Forest Lake Wavermakers have partnered <br />with My School Color Run, who provide consulting services on run events, as well as <br />forms and supplies. As part of the color run, color will be sprayed on participants along <br />the course, and a powered color will be used for the final celebration. The applicant has <br />provided a detailed description on the event, which staff finds acceptable. <br />3. REQUIREMENTS: <br />The applicant has provided the City the completed application, hold harmless agreement <br />and permit fee. In accordance with this permit, the applicant shall conduct the event as <br />described herein and meet the following conditions: <br />Prior to the Event <br />1. The applicant shall provide the City a copy of the insurance for the event naming the <br />City of Hugo as additionally insured. <br />2. The applicant shall install temporary directional markers and caution signs along the <br />route. <br />During the Event <br />3. The applicant shall conduct the event in accordance with the approved plans <br />submitted with the application. <br />
