Updated: 4/15/2021

situation and the information included in this document will be regularly updated as
circumstances change.

SECTION 2: INTERNAL EVENT EXECUTION PROTOCOLS

The following protocols are designed to provide a scalable application to all sizes and forms of
events. EP staff must 1) identify and adhere to the mass gathering limitations set by state and
local authorities; and 2) have enhanced plans in place for preventing, mitigating, and
responding to disease transmission.

EVENT COORDINATION WITH LOCAL AUTHORITIES
As we know, Bike MS events occur through the permission and support of the local jurisdictions
and community. There are several types of agencies which we normally contact throughout our
planning. Traditionally these agencies have been those required to obtain permits and
permissions or support for an event. Some of these include: Law Enforcement, Municipalities,
Venues, Private Residences/Property, Parks and Recreation, Medical, and Planning
Departments.

While we must still obtain permissions from those agencies, in the COVID-19 era it is also
important that we discuss our event with other agencies and organizations that may or may not
have played a role in the past. These organizations may have restrictions in place that will shape
our event, as well as resources to ensure that we produce the safest event possible. Two
important groups for discussion are: Local, County or State Public Health Department, and
Hospitals and Healthcare Providers. There are over 2000 local health departments in the United
States, many of which are formed at the county level. As a starting point to find your local
health department, look at your corresponding county website or utilize the Guide to Local
Health Departments from the National Association of County and City Health Officials. In many
cases the local government agencies are already working with these health agencies and can
provide guidance, as well as any special requirements in place.

EVENT FORMAT
The below section provides a high-level overview of the Event Format through August 31, 2021.
It outlines key event components and where to find the additional information/resources to
execute. *This protocol document also contains sections which are not outlined below;
therefore, you must read the document in its entirety and adhere to all protocols.

Modified 1 Day: Staggered Start/Wave/Time-Trial style ride (same start and finish, and different end
point)
1. Route = Two route options to finish: short/medium and longer; No formal Century route = see
ROUTE section
