HomeMy WebLinkAbout2017.03.06 (2)2040 Comprehensive Plan Council/Commission Kickoff Meeting Update Monday, March 6, 2017 City Council Meeting 1 City Council and Commissions The objective was to identify the strengths and weaknesses in the current comprehensive plan and review the City vision as the process moves forward SWOT exercise Group Discussions A lot of the same topics came up from last comprehensive plan cycle Public Workshops are planned Review/Refine Community Vision and Goals Kickoff Workshop Update This was the first meeting of the comp plan process. There was a great turnout of Council and Commission members that were able to join the meeting. At the meeting the staff solicited comments from the Council and Commission members on what the strengths, weaknesses, opportunities, threats, and visions were for Hugo. City Staff was present to help the Council and Commission members understand the Comprehensive Plan Update process and why it is so important SWOT exercise Schools and partnerships seems to be important topics So, there were several great discussions at the meeting and the City will be having the same discussions with the public through openhouses/workshops and through our City website. We will post the meeting summary's on the website and include all results from the Council and Commissions and the residents. This gives the City a good idea of how to set goals, outlines what people’s vision is for the future of Hugo, and provides a basis for the background that the Comprehensive Plan will reflect. 2 Public Engagement Community Engagement Joint Meeting Complete! Four public workshops Three Parks Commission Meeting Three Planning Commission Meetings Three Council meetings ULI Meeting – Navigating Your Competitive Future Social Media engagement “Meeting in a Box” This is just the beginning, we will be soliciting comments from the public throughout the process. The community engagement plan for this update is similar to past years, but we will be taking advantage of the different media sources that were not available last time, including a more robust city website, the city Facebook page and online surveys and questions. In addition to traditional open houses/workshop and meetings with Commissions/Council. We are also proposing a new tool to meet people where they are by offering a “Meeting in a Box” Meeting in a box is a self-guided and individually hosted workshop that can be facilitated by any organization or neighborhood group in the privacy of one's home. While it is called meeting in a box, it is simply a toolkit containing a survey or discussion questions provided to facilitators electronically or by mail. The kit will contain everything needed for organizations to host their own discussions, including instruction sheets for facilitators, discussion questions, and worksheets for participant responses. The hosting organizations send the materials back to the City to incorporate responses into community workshops and policy documents. 3 City Council Role Each Commission is responsible for making decisions and recommendations about specific elements of the Comprehensive Plan. The Planning Commission will be the main group reviewing the comprehensive plan sections. The Parks Commission will review the parks/trails section. Staff will check-in with the Council during the process with updates.
