CITY <br />How the City Takes Minutes <br />Arden Hills <br />Contract out a service called TimeSavers. Small company with maybe 3 <br />typers all very good. They have the option to come and sit in or listen to <br />the audiotapes. The city clerk approves these minutes before they are <br />officially approved. The City Clerk used to take the minutes. <br />Falcon Heights <br />The Admin Coordinator a part time position takes the minutes from an <br />audio tape and submits them. This seems like a front desk position that is <br />also in charge of "intakes," like permits and mass media. <br />Gem Lake <br />The Administrative Assistant, a part time position, takes the minutes. <br />This is a front desk position. She attends the meetings if able or uses the <br />audio tape. The minutes only include the outcome of a situation. <br />Lauderdale <br />The deputy city clerk, a full time position, takes the minutes and acts as <br />the front desk person. <br />Maplewood <br />Minute formats are prepared ahead of time and then the action taken is <br />included in the minutes. The City Clerk prepares those minutes. It sounds <br />like there is a more detailed explanation of actions taken somewhere else. <br />Mounds View <br />Uses TimeSavers because they are a charter city. Contact and Phone <br />Number: Carla Wirth 612-251-8999. <br />New Brighton <br />Uses TimeSavers, the City Clerk recommends providing a list of names <br />and/or a description of technical language if it is confusing. <br />North Oaks <br />The minutes are taken in house by a part time Administrative Assistant <br />that job shares with another Administrative Assistant. <br />North St. Paul <br />The Deputy City Clerk takes the minutes. <br />Roseville <br />Contract out to Sheila Stole. Has done the minutes for many years. <br />St. Anthony Village <br />Currently uses Timesavers. <br />Shoreview <br />Contract out to a single person who used to live in the city, but now lives <br />in Wisconsin. The City mails the DVDs to her to type the minutes. <br />Vadnais Heights <br />Currently uses TimeSavers. <br />White Bear Lake <br />Currently contract out to TimeSavers, but may switch back to in-house as <br />a position is open and that may be a part of the job description. <br />White Bear Township <br />Contract out to a single person. <br />Mendota Heights <br />Contract out to a single person. <br />Totals Contract out <br />6 Contract out to TimeSavers <br />4 are contracted out to a single person <br />Totals in House <br />3 Cities have it done in house by a full time employee <br />3 Cities have it clone by a part time employee <br />8 <br />
